How the IDF_CC tool collects, uses and protects your personal information.


What we collect
When you register for an account we collect your name and email address. You may optionally provide your affiliation, occupation and intended use of the tool; these optional fields help us understand who uses the tool and report aggregate (anonymized) usage statistics to our funding agencies. The tool is passwordless: you log in with a single-use code sent to your email, so no password is collected. For accounts created before this change, any previously set password is stored only in hashed form.

For security purposes we also record technical information when you use the tool, such as your IP address and the date and time of login attempts. This information is used to protect accounts (for example, to limit repeated failed login attempts) and is kept only for a limited time.

How we use your information
  • To create and manage your account, and to send transactional emails such as one-time login codes.
  • To produce aggregate, anonymized usage statistics for research reporting purposes. Individual users are never identified in these reports.
  • To occasionally send announcements about new versions and features of the tool. You may opt out of announcement emails at any time by contacting us; transactional emails (one-time login codes) are still sent as needed to operate your account.
We do not sell, rent or trade your personal information, and we do not share it with third parties for their own marketing purposes.

Third-party services
  • Google reCAPTCHA is used on some forms to prevent automated abuse. Google may collect technical information about your browser and interaction with the widget. See the Google Privacy Policy.
  • Amazon Web Services (Amazon SES) is used to deliver emails. Email delivery is processed in the AWS Canada (Central) region.
Retention and deletion
We keep your account information for as long as your account remains active. You may request access to, correction of, or deletion of your personal information at any time by contacting us. When an account is deleted, the associated personal information is removed from our systems. One-time login codes and failed-login records are automatically deleted after approximately 30 days; access logs are retained while your account remains active.

Your rights
We handle personal information in accordance with applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act (PIPEDA). You have the right to know what personal information we hold about you, to have it corrected, and to withdraw your consent to its use (which may require closing your account).
